The new offering has a launch date. Pricing is approved. Sales knows who to call. Then someone asks whether the order form, service agreement, and customer welcome documents are ready.

The answer depends on a template change waiting for a developer, a field nobody can identify, and a sample document someone in IT still needs to generate. The work is small enough to sound routine and important enough to hold everything else up.

OpusDocs AI helps legal, operations, and sales teams work through that preparation. It assists with the template, the data behind it, the package sent for signature, and changes to published forms. Non-IT users can understand the fields and rules inside their templates, make routine changes themselves, and review the result without depending on a developer.

Watch how template authoring connects to document generation in Salesforce, with AI assistance and your team in control of the final output.

Start with the document your team already knows

An existing agreement carries decisions your business has already made: the wording legal approved, the service descriptions customers understand, and the places where names, prices, dates, and signatures belong.

AI-assisted drafting and migration turn that document into a template draft with proposed merge fields, conditional sections, and signature blocks mapped to Salesforce. Your team gets a starting point to inspect instead of recreating the document from a blank page.

For a new service offering, that might mean adapting the existing customer agreement, identifying the values that change for each deal, and reviewing where the new service terms belong. Authors choose the mappings and confirm the conditions. The draft still goes through your review process before it is used.

Find merge fields through search or page scanning

Merge fields connect the places where information belongs in a document to the Salesforce data that supplies it. A customer name, billing address, agreement start date, or project location can be populated from the relevant record each time the document is generated.

The author usually knows what information belongs there. OpusDocs AI provides two ways to find the matching Salesforce fields:

  • Search in plain language. Ask for “the customer’s billing address” or “the project’s installation date.” AI suggests fields from your Salesforce catalog that match what you mean. You review the suggestions and choose the field to insert in Word, without needing to know its technical name.
  • Scan the current page. Ask AI to examine the page you are working on. It uses the surrounding text and labels to suggest Salesforce fields that fit the page’s context. On a service agreement page containing customer details, a service address, and an effective date, the scan can suggest relevant fields for those details together. You review which suggestions belong in the template.

For example, an operations author preparing an installation agreement might use plain-language search for a project completion date, then scan the customer information page to find the remaining fields. The date can come from a custom field on a custom Project object, while the customer name and billing address come from the standard Account object.

The selected fields remain visible in the template. Legal and operations can see where each value comes from, replace a mapping when requirements change, and preview the result themselves. Once the data and access are configured, routine field changes can stay with the people who own the document, without a developer identifying and inserting every field for them.

Control what appears with conditional segments

A conditional segment is a part of the template that appears in the generated document only when its conditions are met. Authors can maintain optional clauses, paragraphs, and larger sections in one template, with Salesforce data determining which content each customer receives.

Suppose your team has a renewal clause that depends on both the customer’s location and the agreement terms. In Word, an author can select the clause and describe the rule in plain language:

Include this section when the account’s billing state is California, the opportunity is a renewal, and the agreement term is at least 12 months.

OpusDocs AI helps turn that description into conditional criteria the author can inspect and update. In this example, all three conditions must match for the section to appear. An account in another state, a new-business opportunity, or a shorter agreement would leave that section out of the generated document.

The conditions can combine information from standard Salesforce objects and your own custom records. For example, the account location and opportunity type can sit alongside an agreement term held in a custom Agreement object. A service provider could also include a premium support schedule when a custom Service Plan record identifies the customer’s support level as Premium.

Both merge fields and conditional segments work with standard Salesforce objects as well as any custom objects and custom fields your business uses. Accounts, Contacts, Opportunities, Projects, Service Plans, or your own industry-specific records can supply the data and rules. Templates follow your configured data model, field names, and record relationships, so the document workflow fits how your business actually operates.

The author can see the boundaries of the conditional content and understand the rule behind it in Word. Legal can maintain state-specific wording, sales operations can adjust renewal content, and business operations can add language for a new service. Non-IT users can manage these changes and preview which sections appear without asking developers to explain or maintain the template logic. Your team continues to review and approve changes before use.

Find template issues while the document is still in Word

Some of the most troublesome errors look ordinary: a customer name left in from the last draft, a blank date, or a signature block with no signing tag.

AI Review flags potential hardcoded values, unfilled blanks, missing signature tags, broken segments, and obsolete fields. Findings appear in the add-in and beside the relevant text as Word comments, so the reviewer can assess each issue in context.

Consider an agreement adapted for a new product. The wording may be correct while an old amount or field reference remains elsewhere in the file. AI Review gives the author another way to spot what needs attention before submitting the template.

The findings are suggestions for review. Your team decides what to change and whether the document is ready for approval.

Generate the example you need to review

A template with visible fields and conditions is easier to understand. A generated example shows what the customer will actually receive.

Once the Salesforce template and access are configured, authors can select a record and generate a preview directly from Word. They can check the merged values, conditional sections, product tables, and layout without waiting for IT to produce a sample.

Try the new service offering against different customer records. Does the appropriate service description appear? Is the renewal clause included for the intended deal? Does a long product table remain readable?

Work in desktop Word or coauthor the shared template in Word Online. Colleagues can discuss the text and AI findings, make changes, preview again, and submit a version with notes through the configured approval process. The generated preview lets authors verify how their template works with actual Salesforce data.

Check the whole package before it goes for signature

Template review and deal review answer different questions. A sound template can still become part of an incomplete package or be generated from an outdated quote.

OpusDocs AI supports package validation against approved quote data, required terms, recipients, and attachments. For a service sale, that means checking the agreement alongside the statement of work and other documents the deal requires. A missing exhibit needs attention even when the agreement itself looks correct.

Pre-signature auditing focuses on the final documents: missing values, inconsistent terms, superseded quote data, and broken signing fields. Exceptions route to a person for review before the package reaches the customer.

These checks support the quote-to-signature workflow. Your approved pricing, legal language, and Salesforce approvals remain authoritative. AI helps surface possible discrepancies for the team to resolve.

For the sales rep waiting to send an agreement, the benefit is fewer rounds of chasing corrections. For the customer, it is a clearer path to a complete set of documents they can review and sign.

Keep up when published forms change

Some templates begin with a form issued by someone outside your business. Solar teams, for example, work with utility, regulator, city, and county documents that can change across the markets they serve.

OpusDocs AI monitors the sources configured for your workflow for new forms and revised versions. When it detects a change, it prepares an initial template and automatically alerts the business.

Legal and operations then review the document, validate field mappings and package rules, and approve the template before use. The benefit is a clearer starting point for the update and less manual checking of the same sources. The monitoring scope comes from the sources configured for your markets. See how this supports solar teams.

Put AI to work on one document that slows the team down

Start with a document people recognize: the agreement that delays a launch, the quote reps keep chasing, or the form that is difficult to update. Bring the template, its Salesforce data, and the person responsible for its output.
